How to Setup and Operate the SDTC
Race-Day Water Stations

Frequently Asked Questions about Volunteering

Who can be a volunteer at a San Diego Track Club (SDTC) event?  Adults aged 18 and up.  This is a track club policy established by the SDTC Board of Directors.

How do I sign up to be a volunteer for a SDTC event?  Please contact the SDTC Volunteer Coordinator. The Volunteer Coordinator's email address is on the Contacts web page.

Are there jobs other than being a water station worker that a volunteer can help with on race day?  Yes! There are usually many race-day tasks - helping with registration, handing out t-shirts, being a course marshal, and helping with the awards and post-race treats are some of the other jobs that volunteers perform on SDTC race days. Please contact the Volunteer Coordinator.

What if I can only volunteer for a certain period during a SDTC event?  Please discuss this with the Volunteer Coordinator.

What physical requirements are there for volunteering at the SDTC Race-Day Water Stations?  It is assumed that you and another person together will be able to lift five gallons of water (40 pounds). If you are not able to do any lifting, please advise the Volunteer Coordinator.

The SDTC Method for Setting Up and Operating Race-Day Water Stations (Black print - for volunteers. Green print - for racers.

We all race; we all volunteer. The San Diego Track Club members support each other and the larger running community in our continual quest for that next Personal Record (PR), whether the PR involves a decrease in elapsed time or pace per mile OR an increase in how good we feel at the end of the run. To further the goal of helping each other to that next PR, club members have contributed the following suggestions for the track club's day-of-race water stations:

1. Water and Erg/Gatorade/Gookinaid will be available at each aid station where possible.

2. The end of the aid station table that the racers reach first will be set up with water. The far end of table will be set up with erg/gatorade/gookinaid.

3. Before the racers arrive, the volunteers will cover the water station tabletop with half-filled cups placed fairly close together, EXCEPT for along the edge of the table closest to the racecourse.

4. Half-filled cups placed along the tabletop edge closest to the racecourse will be spaced out so that a racer can grab for a cup without loosing speed. As cups are grabbed by the racers from this edge of the table, the volunteers will refill this line of "spaced-out" cups as they have time.

5. Volunteers will stand at the ends of the table (not in front of the table). It is best for the volunteers to stand a few yards away from the table and in line with the racecourse so that the front of the table is left open for "self-serve" by the racers. Volunteers, please make sure to position yourself so that you do not block incoming and outgoing racers.

6. Volunteers will watch for approaching racers and will be ready to offer the racers half-filled cups by holding the cups out to them.

7. Volunteers will call out to racers what the volunteer has in his/her cups - "water" or "gookinaid" or "erg" .

8. Volunteers will wear plastic gloves and hold the top of the cup, the racer will grab for the bottom of the cup.

9. Volunteers will try to move a little in the direction of the racers's motion as the cup is being transferred to the racer. It takes good aim on both sides to make this happen and a bit of splashing is to be expected!

10. Racers - If you indicate that you want a cup as you approach the water station, the chance for a better "cup transfer" will be increased. Anything you can do (short of interfering with another racer) to give the volunteer a little advance notice of your desire to get a drink would help.

11. Volunteers will offer cups to as many racers as possible. Near the back of the pack sometimes the racers want to stop and stretch, but all racers appreciate the offer of a drink.

12. Racers - If you want a cup and you cannot get one from the volunteers (maybe a volunteer has just run out of cups or is helping other racers), please serve yourself and grab a cup from the top of the table. The volunteers will try to ensure that there is always a line of “spaced-out” cups along the edge of the table closest to you so that you will not loose speed as you grab for a cup.

13. Racers - PLEASE DO NOT HANG AROUND THE FRONT OF THE WATER STATION. Take your cup and keep moving or, if you need to stop, move past the station and out of the racecourse so that you do not block incoming and outgoing racers.

14. Racer sets PR and everyone is happy (optional but highly recommended).
