It is time to elect a new Board of Directors to serve a 3-year term.
Responsibilities include:
- Selection of the President, Vice President, Secretary and Treasurer
- In collaboration with the President, selection of the committee chairpersons: Newsletter, Membership, Track and Field, Long Distance Running, Masters and Women
- Attending the monthly meetings of the SDTC (3rd Tuesday of each month) and possibly function as chairperson
- Review/ approving the annual budget

2008 Board of Directors Elections
It is time to elect five members of the SDTC to serve a three-year term as a member of the SDTC Board of Directors. The Board of Directors is made up of fifteen club members elected to three-year terms. Five board members are elected each year. Many of the SDTC Committee Chairs are drawn from the members of the Board of Directors.
The following positions are available:
1. President. Time Commitment: 20 hours per month on average, but varies as issues come up.
Requirement: Must be a member of the SDTC.
- Put in as much time as is necessary to conduct the interests of the Club and its members.
- Conduct a board meeting and spend about 5 minutes sending out a reminder email to the Board once a month.
- In November, spend about 4-5 hours hosting the annual banquet
- When called upon, go to other meetings to represent and advocate the interests of the Club, its membership and the running community at large.

2. Vice President. Time Commitment: About 8 hours a month on average
Requirement: Must be a member of the SDTC.
- In the absence of the President, lead the monthly Board meeting in accordance with the SDTC rules and by-laws and exercise the powers/duties of the President
- Chair the Nomination Committee, assigning tasks/responsibilities to that Committee
- Lead or assist on any special projects to achieve the overall goal and mission of the SDTC
- Attend monthly SDTC Board and any other ad hoc meetings as dictated by the SDTC Board
Qualifications encompass many aspects of leadership such as:
- Versatility to step in when necessary in the absence of the President
- Flexibility to accept assignments on short notice and execute responsibility in a timely manner
- Excellent communication skills in person, telephone, email with ability to develop and lead a team
- Ability/willingness to work with the Board to achieve goals/mission of SDTC

3. Secretary. Time Commitment: 4-6 hours per month.
Requirement: Must be a member of the SDTC.
- Attend monthly Board of Directors meetings (average duration is 2 hours – 3rd Tuesday of each month).
- Take minutes of meeting including attendance, absentees, summary of each report given, motions made, votes taken, old business, new business, etc.
- Within about one week of meeting, type and distribute rough draft of minutes (via email) to all Board members. Board members should then respond with any corrections.
- After making corrections to minutes, print about 20 copies to take to next Board Meeting for review and approval.

4. Treasurer. Time Commitment: Varies
Requirement: Must be a member of the SDTC.
- Review disbursements and sign checks on a weekly basis.
- Prepare annual budget and monitor throughout the year.
- Review and sign tax return annually.
- Meet with SDTC financial adviser to review investments two times per year.
- Prepare quarterly budget to actual reports.

5. Long Distance Running Committee Chair. Time Commitment:
Requirement: Must be a member of the SDTC.

Elections for the Board of Directors will take place at the SDTC’s Annual Dinner Meeting in November. Please check the SDTC home page later this year for the date, time and place of the annual meeting.
At the November annual meeting, the general membership of the club will vote from the slate provided by the Nominating Committee plus any additional nominations from the floor. If you want to nominate someone at the annual meeting, you will need to present a petition in support of their candidacy signed by at least two percent of the SDTC membership. As of May 2008, SDTC membership stood at 1052.
Voting will be done at the annual meeting by secret ballot provided to the membership at least seven days before the voting deadline. Some of the current SDTC Board members will count and certify the vote. The five candidates receiving the highest number of all the votes cast will be declared elected.
Newly elected Board Members will assume their responsibilities in January 2009. From the SDTC Bylaws: “At the first meeting of the year, the new Board shall meet with the retiring President as Chairman, and shall elect a President, Vice President, secretary, and Treasurer, except that the election of the Vice President may be deferred to a time not later than April 15. The President, Vice President, and Treasurer shall be elected from among the members of the Board of Directors. The Secretary may be elected from the general membership.”

Description: Keep active roster of membership database using Microsoft Access. Responsible for sending welcome letters and membership cards to SDTC members, providing board members with accurate information regarding membership and provide accurate data to organizations, such as Road Runners Club of America. Any requests for information as such must be approved by the Club President before any data regarding SDTC membership is released to any organization or individual. Candidate should have database skills using MS Access and be familiar with MS Word and MS Excel. Must also have working knowledge of the web and provide detailed records, plus get any incoming funds to the club’s book keeper.
Time Commitment: Number of hours depends. Workload is heavily weighted to the end of the calendar year, when all SDTC memberships expire and registration for the RnR marathon training program begins. While RnR registration is open, it is not uncommon to put in 2-3 hours per night. But after RnR registration closes, it is usually 3 hours per week (more or less).

Description: Responsible for recruiting team members, setting up volunteer assignments, securing uniforms for team members, assembling runners for team competition, putting on a Masters road race, assisting with a Masters T & F meet. May be necessary to lay out, eventually reimbursed, several hundred dollars a year for application fees.

- Administer the SDTC’s Chuck McMahon Trust.
- Host a full Masters Track & Field Meet Annually. ( For an elaboration of Track & Field Meet tasks, see pages 27 - 36 of the USATF Master Track & Field Meet Management Manual available here: USATF Meet Management Manual )
- Participate in all local Track Meet finals (meet management, officiating and/or volunteering): High School, Community College, University, USATF youth, open and masters Association & Regional, Special Olympic & Senior Olympic to become proficient in Track & Field meet management and to show SDTCs support of the sport.
- Promote Track & Field participation and events in San Diego on behalf of the SDTC.
Time Commitment: 4 - 6 hours per month during “off-track” season. 40 hours per month during track season (May-July).

Description: Secure volunteers to operate SDTC activities. Keep an active list of those who volunteer for SDTC events.
Assist the Race Directors as needed with volunteers. Explore the potential for future leaders among the volunteers. Prepare for and attend Board of Directors meetings.

- Recruit and present new members to be added to the team
- Keep team updated on races, upcoming track club events and other news important for them
- Have an annual meeting with team to bring team together and discuss cross-country and other team events
- Schedule training runs with team
- Organize volunteer times for team and contact team members regarding volunteer opportunities for SDTC
- Give team members their racing uniforms provided by SDTC and work with PR/Uniforms Chair as needed.
